Handling email on your Pocket PC
The second method is to create POP3 or IMAP4 messaging accounts on the Pocket PC. Using this method allows you to send or retrieve email through a wifi, GPRS, or ActiveSync passthrough internet connection. Here, you create an account using parameters specific to your ISP. All the emails you retrieve using this method can remain on your ISP's email server, so when you next log in to email from your computer, the emails can be downloaded again to your computer. Any emails you send from your Pocket PC under this account, get sent when you have an internet connection. Sent email messages never get transferred to your computer, but remain on your Pocket PC until you delete them or until you clear the messaging account.
Syncing Email
Syncing email is a batch process. When you sync your email to your Pocket PC, email is copied from the computer's main email account to the Pocket PC's Outlook E-Mail account. You read, reply to, and create new messages within the Pocket PC's messaging application. Any email messages you create and "send" on the Pocket PC are held in the Pocket PC's Outbox until your next ActiveSync session, when they are transferred to and sent from your computer. The only way new email messages are "delivered" to your Pocket PC's Outlook E-Mail account is by syncing to your computer. By handling your email through the Outlook E-Mail account, you will maintain a comprehensive history of your email sitting on your computer since all your email is ultimately sent and retrieved through your computer.
To sync email:
- Open ActiveSync on your computer.
- Select Tools > Options and
- Place a check mark in the box next to Inbox (see screen shot)
- Select the OK button.
|
ActiveSync will sync your email to your Pocket PC. Then if you select Tools > Options again, you can highlight the Inbox and then select the Settings button to the right to choose the specific Mail Folders, the amount of each email, the number of days' worth of emails you wish to sync as well as whether or not you wish to sync related file attachments.
|
The number of days you establish for your computer to sync to your Pocket PC is a moving number. For instance, if you set this number to 5 days, when you sync on Monday, you will sync any email you received during the previous 5 days (Thursday, Friday, Saturday, Sunday, and Monday); then when you sync on Tuesday, the previous Thursday's emails will disappear from your Pocket PC and your received email from , Friday, Saturday, Sunday, Monday, and Tuesday will get copied to your Pocket PC.
Configure POP3 or IMAP4 Messaging Accounts
When you configure POP3 or IMAP4 messaging accounts on the Pocket PC, you can retrieve and send email directly from the Pocket PC whenever you have an active GPRS/EDGE, WIFI, ActiveSync passthrough internet connection. Handling email in this fashion is more dynamic (real time) than syncing email through the Outlook E-Mail account.
Using POP3 or IMAP4 accounts enables greater flexibility when sending and retrieving email messages - all you need is an internet connection and you are not limited to having access to ActiveSync. However, since the Outlook E-Mail account is not used, any messages you send through your POP3 or IMAP4 messaging accounts never get transferred to your computer.
To configure a POP3 or IMAP4 messaging account, open up the Messaging application on your Pocket PC (tap Start > Programs > Messaging).
| For WM5.0 Pocket PC, tap Menu > Tools > New Account; for Windows Mobile 2003 Pocket PCs, tap Accounts > New Account. Then enter the email address for the new account in the "Enter e-mail address:" box and select Next |
If you are connected to the internet, the Pocket PC will automatically configure some of the parameters of your account. Select Next to proceed. |

In the Options (2/3) screen you can specify how many days' worth of email you wish to retain on the Pocket PC. The number of days you specify in the Options (2/3) screen is a moving number. For instance, if you set this number to 5 days, when you retrieve emails on Monday, you will retrieve any email you received during the previous 5 days (Thursday, Friday, Saturday, Sunday, and Monday); then when you retrieve email on Tuesday, the previous Thursday's emails will disappear from your Pocket PC and your received email from Friday, Saturday, Sunday, Monday and Tuesday will get downloaded to your Pocket PC.

Problems sending emails
If you can retrieve emails but can not send messages:
- Enable outgoing email authentication: Check the Options (2/3) screen to make sure you have placed a check mark in the box next to "Outgoing mail requires authentication". If you still have problems sending emails, you may also need to tap the Outgoing Settings button and enter your User name and Password in the E-mail Setup (3/5) screen.
- Use a different SMTP Port Number: By default, the Pocket PC uses Port 10 as the Outgoing SMTP. To avoid abuses by spammers, some ISP's use a different SMTP port number. You may need to check with your ISP to see if this is the applies. If so, you will need to append the port number to the Outgoing mail server information found in the E-mail Setup (5/5) screen as follows: smtpauth.earthlink.net:25. In this example, I have appended port number 25 to my Outgoing mail server by appending a colon and the port number.
-
Use an alternate SMTP server: You may not be able to use your ISP's outgoing SMTP server at all. Instead try using an alternate SMTP server, such as the one used by your cellular provider. Or you could search the internet and find an alternative SMTP server.
